Move business texting off your personal phone, carefully

Separate the conversations before moving them

Identify which contacts and threads belong to the business. Do not give a new service access to personal conversations just to speed up setup. Check the available export or import method and which records you need to retain. A new inbox does not necessarily import old phone history.

Decide whether to keep the existing number or introduce a business number. Get written confirmation of any number transfer requirements before changing or cancelling service.

Give customers one clear next step

Explain where future business messages should go, who can answer them and the hours that inbox is monitored. Use an ordinary personal note, not a claim that every customer must immediately change their saved contact.

Keep a transition log of customers who reply to the old number. Assign someone to bring the relevant business context into the new workflow using the transfer method your business has approved. Avoid forwarding private material or copying an entire phone backup.

Make the new inbox useful on day one

Before inviting customers, have a colleague answer a test message while you are unavailable. Confirm they can find the appointment, see the previous promise and reach you when an exception needs approval.

Review both channels during a defined overlap period. Once the change is established, remove unnecessary staff access to the old device and update the business’s contact details wherever customers find them. Keep the transition plan with your other operating notes.
